Turn Meeting Records into Drafts People Can Use
Check commitments first, then create separate manager and team drafts from the same record.
Start with a trustworthy record
I have used two meeting workflows: local transcription with faster-whisper, and a Notion AI meeting record followed by a fixed template. I choose according to where the data is allowed to go.
I obtain consent before recording or transcription and follow the approved data rules. A locally generated transcript still leaves my machine if I upload its text to a cloud model.
Keep missing commitments visible
I ask for confirmed decisions, action items and unresolved issues separately. An action should have an owner and deadline, but missing information stays marked as missing.
I check conditions, negations and statements that were never approved against the record. A plausible invented date can become an apparent commitment after I send the draft.
Serve two reading needs
I used to send everyone the same full record. Now my manager draft emphasizes decisions, risks and approvals needed, starting with five lines. My team draft keeps actions, owners, deadlines and dependencies. I expand the short version when a risk would disappear.
I generate both from the checked record. A longer team version cannot reliably recover details removed from a short summary.
A draft request you can adapt
“Using only the checked meeting record below, create two unsent drafts. For the manager, start with five lines of decisions, risks and approvals needed. For the team, list actions, owners, deadlines and unresolved items. Do not guess missing information. Use my supplied invitation list for recipients; ask if it is absent. Do not send. Separately list questions I still need to confirm.”
Supply a template if you have one you trust. It should determine layout, rather than lend old names or tasks to the new record.
Check three things before sending
Check unresolved fields, risks lost in the manager version and information inappropriate for the team version. Inspect To and CC yourself; appearing in the discussion does not establish that someone should receive the email.
AI handles repeatable organization. You verify commitments and recipients. A completed draft is a handoff; sending it remains a separate decision.
