Make Tasks Visible and Put Boundaries on AI Updates

Use minimal fields, one progress log and explicit boundaries to keep consequential decisions visible.

Expose the tasks that are actually overdue

Start with task, due date, status and priority. Flag overdue unfinished tasks while handling completed tasks and missing dates separately.

Test yesterday’s deadline, today’s deadline, a completed item and an empty date. Property names, date boundaries and status values can change the result of a formula or AI classification.

Write progress once, then route it

I used to repeat one update across my board, Notion and weekly-report material. Now I keep one input log and have AI match the entries to the task list and their destinations.

For a first setup, I recommend drafts showing the task, old state, proposed state and source entry. Confirm the match before writing, preserve processing records and check that reruns do not duplicate entries. You need not begin by deleting the input.

Show how fresh the morning board is

One page can show due-today tasks, blocked items and decisions needed from you. Attach sources or update times. Missing data should remain missing.

When an inbox, calendar or metrics file requires manual preparation, finish that before generating the board. Schedule generation only after inputs arrive reliably.

Split actions into three permission groups

The task I least want AI to clear is one I still need to do but keep postponing. My list also contains completed and cancelled work; age alone cannot distinguish them. I set three groups before granting editing access.

  • Allowed: mark completed items under my confirmed rules.
  • Ask first: cancel unfinished work, change dates or change owners.
  • Forbidden: delete records or modify databases outside the agreed scope.

Ask for a review table first

“Read only the specified task list. Show due-today, overdue unfinished and incomplete records with original values and sources. Do not guess that a task should be cancelled. Propose changes without editing. After my item-by-item response, update only confirmed records. Leave unanswered items unchanged.”

Check actual tool access alongside prompt restrictions. Run manually and compare old and new values before considering a schedule. The board should reduce the list of decisions you face while keeping those decisions yours.
